Privacy Policy

Hello Angie (“we,” “us,” “our”) respects the privacy of our Clients (the business owners who use our service) and their Debtors (the third parties who receive invoice reminders). This Privacy Policy explains what information we collect, how we use it, and how we protect it. By using our service, you agree to the practices described in this policy.

1. Who This Policy Covers

This policy applies to two categories of individuals:

  • Clients: Consultants, freelancers, and small business owners who sign up for and use the Hello Angie service.
  • Debtors: Third parties whose contact information and invoice details are submitted to Hello Angie by Clients for the purpose of sending payment reminders.

2. Information We Collect

2b. Information We Collect About Debtors

We only collect Debtor information that you, the Client, provide to us when submitting invoices. We do not independently collect any Debtor data.

2c. Information We Do Not Collect

Hello Angie does not collect:

  • Bank account numbers, routing numbers, or financial account details from Clients or Debtors
  • Social Security numbers or government-issued ID numbers
  • Credit card numbers from Debtors (Debtors pay Clients directly, not through us)
  • Credit history or credit scores
  • Any data from third-party sources, data brokers, or public records

3. How We Use Information

We use the information we collect solely for the following purposes:

  • To provide the service: Sending invoice reminders to Debtors on behalf of Clients via the authorized communication channels (email, and when authorized, text or phone)
  • To manage Client accounts: Processing subscriptions, providing status updates, weekly digests, and monthly ROI scorecards
  • To improve the service: Understanding usage patterns to make our reminders more effective (in aggregate, never shared externally)
  • To communicate with Clients: Responding to your emails, sending service updates, and notifying you of policy changes

4. What We Never Do With Your Data

This is the most important section of this policy. Hello Angie will never:

  • Sell your data. We do not sell, rent, lease, or trade any Client or Debtor information to any third party, for any reason, ever.
  • Share your data for marketing. We do not share data with advertisers, marketing companies, data brokers, or any third party for promotional purposes.
  • Use Debtor data for our own marketing. We do not contact Debtors for any purpose other than sending reminders on your behalf. We do not add Debtors to any mailing list, marketing campaign, or promotional communication.
  • Report to credit bureaus. We do not report any debts, payment history, or financial information to any credit reporting agency.
  • Share data with collection agencies. We do not share or transfer Debtor information to debt collectors or collection agencies.

5. Data Retention & Deletion

We retain data only as long as it is needed to provide the service, and we delete it promptly when it is no longer required:

5a. Paid Invoices

When a Client notifies us that an invoice has been paid, all data related to that invoice is deleted. This includes the Debtor’s name, email address, phone number (if provided), invoice amount, due date, reminder history, and any replies received. Paid invoice data is not archived or retained.

5b. Account Cancellation

When a Client cancels their account, all data associated with that account is permanently deleted. This includes:

  • Client account information (name, email, business name)
  • All Debtor information submitted by that Client
  • All invoice records and reminder history
  • All communication logs and reply records
  • Payment and subscription records

Data deletion is completed promptly following cancellation. We do not retain backup copies of cancelled account data.

5c. Active Accounts

For active accounts, we retain Client and Debtor data only for as long as it is necessary to provide the reminder service. Invoices that are marked as paid or removed from active tracking are deleted as described above.

6. Communication Channels & Consent

6a. Email (Default)

Email is the default and primary communication channel. By submitting an invoice to Hello Angie, the Client affirms that they have given their Debtor prior notice that overdue invoices may be followed up on via email by a representative acting on the Client’s behalf.

6b. Text Messages & Phone Calls (Requires Written Permission)

Hello Angie will only contact Debtors by text message or phone call if the Client provides explicit written permission specifying which additional channels are authorized. This permission must be submitted via email to Hello Angie.

The Client is responsible for ensuring they have obtained any legally required consents from the Debtor before authorizing text or phone outreach, in compliance with the Telephone Consumer Protection Act (TCPA), applicable state laws, and any other relevant regulations.

6c. Marketing Communications

Hello Angie may send Clients occasional service-related emails (feature updates, policy changes, billing notices). We do not send unsolicited marketing emails. Clients may opt out of non-essential communications at any time by emailing us.

We never send marketing communications to Debtors. Debtors only receive invoice reminders sent on behalf of the Client who submitted their invoice.

7. Data Security

We take reasonable measures to protect the information we handle. Our service operates primarily through email, which means there is no web portal, dashboard, or centralized database that could be targeted. We use industry-standard security practices to protect email communications and any stored data.

While no method of electronic communication or storage is 100% secure, we are committed to protecting your information and will notify affected parties promptly in the unlikely event of a data breach.

8. Third-Party Services

We may use a limited number of third-party service providers to help operate our service (for example, email delivery services or payment processors). These providers are contractually obligated to protect your data and may only use it for the specific purpose of supporting our service. They are not permitted to use your data for their own purposes.

We do not share data with any third parties beyond what is strictly necessary to deliver the service.

9. Debtor Rights

If you are a Debtor receiving reminders from Hello Angie on behalf of one of our Clients:

  • You can request to stop receiving reminders by replying to any reminder email. We will flag your request to the Client and cease sending reminders unless the Client instructs otherwise.
  • You can ask what data we hold about you by emailing us at linda@sayhellotolinda.com. We will provide a summary of the information submitted by the Client.
  • Your data is deleted when the invoice is marked as paid, when the Client removes you from their reminder list, or when the Client cancels their account.
  • We never use your information for any purpose other than sending reminders on behalf of the Client who submitted your invoice.

10. Children’s Privacy

Hello Angie is a business-to-business service and is not directed at individuals under the age of 18. We do not knowingly collect personal information from minors. If we learn that we have inadvertently collected information from a minor, we will delete it immediately.

11. California Privacy Rights

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA), including the right to know what personal information we collect and how it is used, the right to request deletion of your personal information, and the right to opt out of the sale of personal information.

We do not sell personal information. Because we never sell data, there is no need to opt out — but you may still exercise your other rights by emailing us at linda@sayhellotolinda.com.

12. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify Clients by email at least 15 days before the changes take effect. The “Last Updated” date at the top of this page will be revised accordingly. Continued use of the service after the effective date of any changes constitutes acceptance of the updated policy.
